Finance Director (Fixed Term)

We are looking for an interim Finance Director to ensure the smooth operation of our finance department. This role involves providing timely and accurate financial information to all stakeholders and effectively managing the finance team.

The ideal candidate will be a Qualified Accountant (CIMA, ACCA, or ACA) with proven leadership experience in a senior finance role and a background in team management.

You should have extensive knowledge of technical finance matters and a wide range of experience in accounting processes. Strong advocacy, diplomacy, and communication skills are essential for representing our organisation, working with senior stakeholders like Board Members and Auditors, and explaining complex financial information to non-finance team members.

This is a maternity cover starting in mid-November 2024 for a period of 8.5-9 months.

ROLES & RESPONSIBILITIES

Strategy

  • Contribute to the development of organisational strategic business plans and future delivery models.
  • Lead on the preparation of annual budgets and forecasting.
  • Responsible for maintaining the highest standards of financial integrity.
  • Manage all aspects of financial management and ensure financial procedures, policies and systems are up to date and fit-for-purpose.
  • Produce efficient and timely management accounts, reports and management analysis of all financial aspects of the organisation and its trading subsidiary.
  • Produce the statutory accounts for one of the group’s companies.
  • Manage risk, governance and regulatory matters including reporting to Companies House and other external bodies.
  • Ensure that the organisation complies with all relevant legislation.
  • Work in partnership with all teams to empower and enable them to be financially literate, thus effective and efficient.

Organisation

  • Oversee the management of the day to day financial operations for the organisation.
  • Lead on monthly month end closure processes, balance sheet accounting and general ledger management.

Budgets

  • Develop annual company budget, including budgets for each team.
  • Prepare longer term financial forecasts.
  • Prepare budgets and financial reports for one off projects.
  • Monitor annual expenditure and cash flow.
  • Work closely with all budget holders to monitor income generation targets.
  • Meet regularly with teams to review budgets.
  • Responsible for short term financial planning.
  • Identify cost savings and new income generating opportunities.

Cash Flow

  • Ensure effective management of organisational cash.
  • Prepare cash flow updates for teams and board members.

Reporting

  • Produce quality, relevant and timely management accounts and financial reports for senior management, the board and lenders.
  • Ensure the team is kept informed on the financial position and communicate/advise on the financial implications of future projects.

Financial Systems

  • Ensure operation of appropriate financial controls, including revenue control, credit and cost controls

Annual Accounts

  • Prepare annual accounts and all relevant documentation for external accountants.
  • Be responsible for implementation of changes in financial reporting requirements.
  • Oversee annual audit: liaise with auditors – timely responses to audit requests; answering questions while auditors on site; ensuring accuracy of information provided

Tax, VAT and HMRC

  • Ensure management and processing of all the organisation’s tax requirements, particularly in relation to VAT, PAYE and Corporation Tax.

Finance Team Management

  • Oversee team responsibilities such as management accounts production, quarterly VAT returns, weekly payables approval, event settlements, till reconciliations, payroll, and pension requirements.
  • Cover duties during Management Accountant’s annual leave.

General

  • Manage relations with external stakeholders such as banks, insurers, auditors and HMRC.
  • Be proactive in keeping up to date with external developments in the Finance sector, advising on any changes as necessary.
  • Actively be involved in the financial aspects of key projects undertaken by the organisation.
  • Be an active member of the management team and contribute to meetings and organisational priorities.

PRIORITY PROJECTS FOR THE PERIOD

Audit Management

  • December: Respond to information requests.
  • January to May: Liaise with auditors, prepare responses and forecasts.

Reporting

  • Prepare monthly board reports (including consolidation) and attend board meetings.
  • Report monthly to lenders.
  • Conduct cashflow forecasting.

Budgeting and Stakeholder Liaison

  • Set the annual budget.
  • Liaise with external stakeholders, including banks, insurance companies, and shareholders.

Collaboration and Project Management

  • Work on ad hoc projects with the CEO/Chairman.
  • Attend fortnightly meetings to review event performance and future bookings.

PERSON SPECIFICATIONS

  • Qualified Accountant (CIMA, ACCA or ACA) (*)
  • Experience in a senior finance role (*)
  • High level of commercial acumen and awareness (*)
  • Excellent people management skills and proven experience of managing a team of staff (*)
  • Sound knowledge of financial accounting process and controls with proven experience of working with journals, reconciliations and invoicing (*)

  • Self-starter with the ability to work accurately in a busy office environment, meet targets and adhere to critical deadlines (*)
  • Strong team player with the flexibility to adapt to changing business priorities in a responsive manner and under pressure (*)

  • Excellent communication and interpersonal skills including the ability to communicate financial information to non-financial colleagues (*)
  • Advanced written and analytical skills with the ability to research, structure and write a variety of documentation (*)
  • Excellent advocacy and negotiation skills (*)
  • Demonstrable ability to work with people from a wide variety of backgrounds
  • Experience of working in an arts or events environment 
  • A good understanding of the challenges of working in the Music and/or Arts sectors and/or smaller independent businesses, and the ability to adapt to fluctuating business challenges and change

About Village Underground & EartH

Village Underground is housed in a former Victorian warehouse in the heart of Shoreditch and is an incredible blank canvas and multi-functional space with a standing capacity of 700 and a seated capacity of 250. 

Village Underground is also a multidisciplinary venue presenting live concerts and electronic music events alongside theatre, performing arts and visual arts. Each year, VU has an attendance of over 100,000 people, stages more than 500 performances and works with more than 1500 artists ​​including Four Tet, A$AP Rocky, Charli XCX, HAAi, Bradley Zero, Arlo Parks, Jeff Mills and so many more. 

EartH comprises two main spaces (700 and 1200) and a restaurant/bar (300). Each of the spaces features state of the art PA and lighting facilities, and are perfect for conferences / awards ceremonies and all types of private events.

EartH opened its doors in September 2018 and has since hosted 500+ events and welcomed more than 200,000 audience members. EartH looks to become a leading light in the city for audiences of all ages and walks of life to meet, listen, watch, dance and enjoy all that artistic endeavour and creativity has to offer. In just four years, we have hosted artists, events and performers such as Idles, Mdou Moctar, Little Simz, Dialled In, Kelly Lee Owens, Greentea Peng, Hackney Comedy Experience and the London Jazz Festival. 

The revenue generated by commercial events is invested back into the artistic and education programmes.

Contract & Salary

Fixed Term 8.5 – 9 months

Full time (42.5 hours/week)

Hybrid working 

Salary £65,000 – £75,000

Start date November 2024
